How Velora Select uses personal information in its recruitment and verification services.

1. Who we are
Velora Select (Pty) Ltd, registration number 2026/585037/07, is a South African recruitment business based in KwaZulu-Natal. We are responsible for deciding how personal information is used in our recruitment services. For privacy enquiries, email info@veloraselect.co.za.
2. Information we collect
We collect information you provide through emails, CVs, registration forms and recruitment discussions. This can include your name, contact details, location, employment history, qualifications, skills, work preferences, availability, salary expectations, licence and PrDP details, and work references. Registration may request additional personal details, including an optional ID number.
For employers, we collect company information, business contact details, vacancy requirements and information needed to provide and administer our services. For agreed verification, we may collect further information and supporting documents appropriate to the check, with the required authorisation.
Please do not send identity document copies, financial information or other unnecessary sensitive information unless specifically requested through an agreed process. Obtain your referees’ permission before providing their contact details.
3. Why we use information
We use personal information to assess recruitment suitability, maintain candidate records, identify possible vacancy matches, communicate with candidates and clients, present relevant information to prospective employers, arrange agreed checks and administer our business relationships.
Depending on the activity, processing may be based on consent, steps necessary for a contract, legal obligations or legitimate interests permitted by the Protection of Personal Information Act (POPIA). Where consent is required, we request it for the relevant purpose. A registration declaration does not remove our other obligations under POPIA.
4. Digital systems and AI assistance
Our recruitment process uses digital storage, AI-assisted CV extraction and vacancy matching. A CV emailed to us may be processed by these systems before a registration form is completed. Information may be structured, summarised and compared with vacancy requirements to assist recruitment assessment.
AI outputs may contain errors or miss relevant experience. Automated scores and eligibility filters can affect which records appear in recruitment workflows. If you believe your information has been misunderstood or incorrectly assessed, contact us to request a review or correction. Employers make the final hiring decision.
5. Who may receive information
Relevant candidate information may be shared with prospective employers for recruitment purposes. Agreed verification may involve referees, previous employers, qualification bodies and verification providers.
Our service providers include Domains.co.za for hosting and email, Google for forms and spreadsheets, Make for automation, OpenAI and AI services used through Make for extraction and matching, Fillout for client forms, and a document rendering service used to prepare candidate portfolios. We use verification providers as appropriate to the agreed checks. Contact us for further information about the providers involved in your particular record or service.
6. Processing outside South Africa
Some technology providers process or store information outside South Africa. Local website hosting does not mean that every part of our recruitment process remains in South Africa. International transfers must meet the applicable requirements of POPIA, including section 72.
7. Retention
Recruitment records are kept for as long as necessary for the recruitment purpose and applicable legal, contractual or legitimate business requirements. Retention may differ between CVs, verification records, placement records and financial records. Contact us to ask about retention of your record or to request deletion. Deletion may be subject to lawful retention requirements and the lifecycle of protected backups.
8. Security
We are responsible for taking appropriate, reasonable technical and organisational measures to protect personal information. Security depends on the systems used, access permissions and the way information is handled. No online service can guarantee absolute security. Contact us promptly if you suspect unauthorised use or disclosure of information supplied to us.
9. Your rights
Subject to POPIA and applicable exceptions, you may request access to your information, correction of inaccurate information, deletion, withdrawal of consent or objection to qualifying processing. Withdrawing consent does not make earlier lawful processing unlawful and does not necessarily prevent processing supported by another lawful basis.
Email info@veloraselect.co.za to make a request. We may need to verify your identity before releasing or changing a record and will explain an appropriate verification method. Please do not send an ID copy in your initial request.
You can also contact South Africa’s Information Regulator about a complaint concerning personal information.
10. Website use and changes
This website uses email links for enquiries. Clicking an email link opens your email application; it does not submit a form on this website. Hosting systems may record technical information such as IP addresses, request times and browser information for operation and security. Read our Cookie Notice for this website’s current use of browser storage.
We may update this policy when our services or processes change. The date above identifies this version. A copy is also available by email.
